Planning an event and want a smooth, professional way to sell tickets online? uTickets makes it easy. In this guide, you’ll learn step-by-step how to get started with uTickets: from signing up, publishing your event, selling tickets, through to receiving your payout.

Steps to get selling (Short summary):

  1. Sign up - this is an instant one click process, there are no lengthy forms, payments or waiting for us to get back to you. Its quick and free.

  2. Create your organisation - Once you are logged in, you can click on the menu item "List your event", this will open a dialog where you create your organisation that we will create your events into. Your organisation has your bank details and other information so we know where to pay you for your event sales and who to contact should there be any queries from customers about your events. Your organisation can be a business or your personal details. You can have many organisations if you host events under different businesses or production companies.

  3. Create your first event - Now that your organisation is setup you can create your first event. You can have a private event that is by invite only or a public event that can be found through uTickets, Google or your own marketing channels.

  4. Publish your event - Once your event has all the necessary information such as Name, Dates, Location, Tickets, Description, Age Restrictions, Extra checkout information etc filled in it is ready to be published which will make it available on the internet for customers to browse and purchase tickets from.

  5. Invite your event partner/s - If you have partners or staff who help you organise your events you can invite them to manage your event with you in uTickets. At the bottom of your event details page you will find "Users", this is where you can invite someone to just this event or to your organisation so they can see all your events. You can do this on an event by event basis.

  6. Sell tickets - Now that your event is published your ticket sales can begin, customers will be able to view your event page, add tickets to their cart and pay. You can watch your ticket sales flow through via your event orders page, on this page you will get a beautiful breakdown of sales, you can export a spreadsheet of your sale and customer information and you can manage your customers orders by clicking on them and doing the actions presented there such as refund, download, resend etc.

  7. Scan tickets or use a clipboard - On the day of your event you can welcome customers and scan their tickets by using the uTickets ticket scanner which is free to use and can be used by as many people as you like - no logins or hassles. Alternatively you can print out your attendees list to welcome customers and check their names off the list. You do not have to scan, uTickets is made to work for many variations of events.

  8. Payout - After the event is complete you will be able to pay yourself the monies made by visiting your events payout page. Here you will see a clear summary of your total sales made, our fee and what you get to take home. When doing a payout an automatic EFT will trigger and send the monies to your bank account.

If you are a trusted organiser who has proof of events done prior to using uTickets or you do at least one completed event with us we can talk about enabling early payouts where you can withdraw some of your funds leading up to your events. This is useful to pay for artists, venue and other costs ahead of time.

  9. Fees - Our fee is a flat rate of 7% including vat and that is it. You get 93% of your sales into your pocket. Please read more about our fees here, we are happy to match your fees if you are coming from another platform and can show us an invoice where you paid lesser fees.

That is the simple break down of telling on uTickets.

Steps to get selling (In-depth summary):

1. Create and Publish Your Event

Once your organisation is created, the next step is to set up your event:

  1. In your dashboard, click to create your event

  2. Enter the event details: name, description, date/time, venue, and images.

  3. Add one or more ticket types (e.g. general admission, VIP, early bird), define pricing, and set the quantity for each.

  4. Optionally configure extras like complimentary tickets or refund policy (if you allow refunds).

  5. Review fees: uTickets charges a 7% fee (including VAT) on every cart sale. For more information on fees (including reduced fees) please read here.

  6. Publish your event — once the required information is filled in, your event can go live.

Your event will automatically be indexed (e.g. on Google) to increase discoverability.

After publishing, you’ll be able to:

  • Sell tickets

  • View analytics on page visits, conversion, demographics

  • Invite collaborators or staff with defined permissions

  • Use the built-in scanning tools or guest list for attendee check-in

3. Selling Tickets

With your event live, selling begins. Here’s what happens:

  • Customers visit your event page, select tickets and pay.

  • uTickets supports guest checkout, so buyers do not need to create an account to purchase.

  • Tickets are delivered via email and WhatsApp, making them easy for customers to share and retrieve.

  • You can monitor live sales via your dashboard, export sales data (Excel), and issue refunds (if enabled by you).

  • At the event entry point, your staff can scan tickets using the uTickets scanner, which requires no separate app or login — just share a link with your team.

Because uTickets integrates analytics, you can see how many people viewed your event page, track conversions, identify traffic sources, and more.

4. Payout & When You Get Paid

After your event concludes, it’s time to get paid. Here’s how uTickets handles payouts:

  • Organisers are eligible for payout only after the event’s end date has passed. If an organiser has early payouts enabled then payouts can be done leading up to the event, you will need to contact us to enable early payouts.

  • In the case of event cancellation or postponement, refund policies apply, and fees may be retained or deducted.

  • uTickets may, in rare cases, withhold funds if there are disputes or suspected fraudulent activity.

5. Best Practices & Tips to Maximise Sales

  • Promote early — share your event page widely (social media, email, partners) to drive early ticket sales.

  • Offer early bird pricing or limited discounts to incentivize early purchases.

  • Enable refunds (if feasible) we communicate our refund policy at customer checkout.

  • Monitor sales and analytics — see which channels drive traffic and optimize your marketing.

  • Check your ticket scanner link ahead of time to ensure staff can scan without issues at the door.
