How to Check In Attendees on uTickets: Ticket Scanning and Guest List Options

Checking in attendees efficiently is essential for any successful event. With uTickets, organizers have flexible options: you can scan tickets digitally or use a printed guest list (which can also be used to print name tags for attendees). This guide will show you all the ways you can manage check-ins smoothly.

Option 1: Scan Tickets Using The Scanner

For organizers who want a fast, digital check-in process:

  1. On your event page, in the menu, click on 'scanner': In here you will find a link to our ticket scanner for your event which can be used by as many people as you would like. You will also find scanning analytics here.

  2. Open the scanner: Click the scanner link to open the scanner, or share the scanner link with your staff via whatsapp, email or other means so they can scan tickets too.

  3. Scan tickets: Point your camera at an attendee’s QR code and the order for the QR code will come up, in the order you will be able to redeem the scanned ticket and other tickets that are part of that order - this saves you from having to scan each QR code for a group of people. Once a ticket is scanned or redeemed a confirmation will show. If a ticket is already redeemed or has any issues a message will show to inform you. A ticket can only be scanned once and the redeemed day and time is always easily visible.

  4. Search orders to assist customers: The scanner allows you and your staff using it to lookup customers orders by order number, name, email or cellphone number - this is useful for when a customer does not have their tickets on them, their phone died or the dog ate their print out. You yourself will have to confirm if the customer is in fact who they claim to be by checking their identification or other means you permit appropriate to verify their identity.

  5. Monitor check-ins: See real-time attendance updates on how many customers have entered versus how many tickets were sold and a chart with time of customers entered. On multi-day events analytics are presented per day so you can see who came in when and which days were more busy. This is especially useful for future events where you want to plan your door staff according to expected peak entry times.

Option 2: Use a Printed Guest List

Some events prefer a more traditional check-in process:

  • Print your guest list: From your events orders page, export and print the excel attendee list for your event or keep it on a laptop or iPad. This will contain the customers information as well as their tickets purchased and custom checkout information, alphabetically for easy look-ups.

  • Check in attendees manually: As customers arrive, find their names on the list and mark them as checked-in. This method works well for events without digital devices, customized attendee welcoming ceremony and in areas with poor connectivity.

  • Create name tags: You can also use the guest list to prepare name tags ahead of time.
